Web Conferencing managing your files

Once you have created files in the content library, you can access them by selecting the Files option from the Meeting Content link under the Pre- & Post-Meeting Content section of your Home page.

The file list shows the following information about each file that you have permission to view:

·        Title

·        Description

·        Content

·        Owner

·        Date/Time Created

In the far right column of the table is a column that allows you to Download, Edit, or Delete files.

! Note:

·        There is no "Preview" functionality available for uploaded files.

If a problem was experienced during the upload process, the file name is presented in red text with an error indicator beside it. A help icon provides some basic instructions for correcting the problem. In some cases, you may need to contact technical support for further assistance.

To download a file from the content library, click the file's Download link.

 Downloading a file

You will need to specify a location to save the file on your local machine or network.

Before editing an existing file, you should ensure that it is not required for use in any conferences. If other PGiMeet site users have been granted permission to view this file, it could be attached to one of their conferences.

To edit an existing file, click the file's Edit link. This opens the Edit File page which is similar to the page used to add the file. Make any necessary changes to the title, description, and permissions. Use the Select button to upload a different file.

J Tip:

·        If you have changes to make to a file that has already been uploaded, use this editing method to replace the old file with the corrected one in the conferencing Hub. Future conferences that had this file attached to them will receive the corrected version in the old version's place once it has uploaded. Because of this, you may need to alert other conferencing Hub users that you have changed the file.

Before deleting an existing file, you should ensure that it is not required for use in any conferences. If other conferencing Hub users have been granted permission to view this file, it could be attached to one of their conferences.

To delete an existing file, click the file's Delete link. A confirmation dialog box opens.

Confirming the deletion of a file

To confirm that you want to delete the file, click the OK button. To return to the file list without deleting the file, click the Cancel button.

You can also delete files that appear in your list that you do not own. These files are ones that have been shared with you by another owner. Deleting one of these files only removes it from your list and does not delete the file for anyone else.

To delete an existing file that you do not own, click the file's Delete link. A different confirmation dialog box opens.

Confirming the removal of a shared file from your list

To confirm that you want to remove this file from the list, click the OK button. To return to the file list without removing this file, click the Cancel button
