For upcoming, current or in-progress conferences, additional participants, both attendees and presenters, can be invited to join from the Conferences page.
J Tip:
· For current or in-progress conferences that you have already joined, it may be easier to invite participants from within the conference itself, using the Invite button on the Live Conference side menu.
Additional participants can be invited from within the system or by using your email client to send the invitations.
! Note:
· If you use your own email client (such as Microsoft Outlook) to send the invitations, reports and invitee lists will not show those invitations.
· There are differences between the emails sent to presenters and those sent to attendees. The ones sent to presenters contain information that only presenters should see, as well as the link to access the conference as a presenter instead of as an attendee.
· If the conference for which you are sending invitations requires attendees to register, the email that they receive will direct them to register for the conference. It won't include details on joining the conference. They will receive an email from which they join the conference once they have successfully registered and been accepted.
Use the following procedure to invite additional participants.
: Invite Additional Participants to a Conference
1. From the List of Conferences, find the conference to which you would like to invite additional participants.
2. Click the Invite link located in the Join column. The Invite Additional Participants page opens.
3. In the Presenters section, a list of the email addresses of presenters already invited to the conference is shown in the Currently Invited field.
! Note:
· If you have previously invited presenters using your email client, they will not appear listed in this field.
4. In the Additional Presenters Invite textbox, enter the email addresses of the other people you would like to invite to the conference as presenters. Addresses can be separated by commas or semicolons.
5. Select the Send Email Invitation option to have the invitations sent when you save this page.
6. In the Attendees section, a list of the email addresses of attendees already invited to the conference is shown in the Currently Invited field.
! Note:
· If you have previously invited attendees using your email client, they will not appear listed in this field.
7. In the Additional Attendees Invite textbox, enter the email addresses of the other people you would like to invite to the conference as attendees. Addresses can be separated by commas or semicolons.
8. Select the Send Email Invitation option to have the invitations sent when you save this page.
9. Click the Save button. The invitations are sent and you are returned to the Conferences page.
