International Conference Calls

As US Businesses expand into international markets and the world continues to shrink we get more and more inquiries from people who want to do international conference calls.  It used to be that we would get a company that had a participant in England or somewhere in Western Europe, but now participants are all over the world and it is only natural that companies would like to do an international conference call.  So, what are the options if you have participants for a conference call in an international location?  Well, there really are three options available from conference call service companies to do international conference calls.

  • Local US Number – Since the international participant cannot dial a US toll free number, most conference call service companies also provide a local US number to dial in order to access the conference call.  Since it is a local US number the international conference call participant can dial it from anywhere in the world and access the conference call.  The only catch with this method of access is that the international participant is going to pay long distance toll charges to dial a US number and will pay those charges to their long distance phone company for the entire time they are on the conference call.  If the participant is an employee and has a good calling plan to dial the US this may be the least expensive option.  Usually the cost to the Host of the conference call is the same or less than the toll free access for US participants.
  • Local In-Country Number – Some conference call service companies have set up local access in foreign countries where the international participant can dial in to a US conference call by dialing a local number where they are located.  So, if the participant was in London, for example, they would dial a local London phone number and the conference call service company then transports the caller to the US conference call via their network.  The international participant usually doesn’t have to pay any charges to access a local number and the Host of the conference call in the US usually pays a little more than the local US number access but less than an international toll free number.
  • International Toll Free Number – An international toll free number is by the far the most convenient, but also the most expensive option for access to an international conference call.  There is no universal toll free access available so you need to dial a specific toll free number from a particular country.  But you can dial the number anywhere in that country and the participant will pay nothing to access the US conference call.  But this type of access is the most expensive for the Host of the conference call.  If the participant for the conference call is a customer or a prospective customer and you want to make sure they do not spend anything to access your conference call then this might be the best option for you.

Conference Call Price Comparison

It would be very easy to offer a conference call price comparison if conference calling prices were like long distance calling.  Long distance calling is all pretty much the same and priced the same.  A long distance call simply connects you to another location and every company prices that connection on a per minute basis, or used to anyway.  But the point is there is not a lot of difference in the service or price of the service.  For a conference call price comparison you need to understand the differences in the services so you can understand the pricing.  Only then can you do an apples to apples price comparison.  Here are the main areas where you need to investigate a conference call service companies offer.

  • Toll or Toll Free – One of the ways many conference call service companies  offer a low rate is by providing a low rate for Toll Access to the conference call.  The problem with this type of access is that you and your participants are incurring hidden charges in the form of long distance charges for connecting to this local or toll number which is not local to you.  Especially if you are inviting customers to the call you do not want them to incur any toll charges to connect to your conference call.
  • Flat Rate – Some conference call service companies offer a flat monthly rate for unlimited conference calls.  There are two issues with this type of conference call access.  The first is you are usually limited in the number of participants who can join the call.  The second is you are going to access the conference call via a toll or local number and incur those long distance charges.  Toll free access is like a long distance call and costs the conference call service company so you will not see it offered for a flat rate.
  • Monthly Subscription Plans – Some conference call service companies offer a discount if you subscribe to a monthly plan.  You should take advantage of these plans if you can but make sure to select a plan that fits your usage pattern and calculate the rate based on the minutes you will do for comparison purposes.
  • Volume Discounts – Some conference call service companies offer a volume discount based on reaching a certain amount of volume.  This is good, but make sure your price comparison is based on your usage pattern as many people do not generate as much conference call volume as they think.

The best way to do a conference call price comparison is to first determine what your usage is or is going to be and then boil down offers to a per minute rate.  I would recommend you only use the toll free rate for comparison purposes as this is the way that most people will use the service.  Conference call service companies offer a wide variety of features so you should also make sure they have the features you are looking for as well.

Free Web Conferencing

One of the surest ways to get traffic to your web site is to give something away for free.  But how is it that a service that a lot of people are willing to pay for can be offered by another company for free.  Well, I have gone through free conference calls before and explained how that can happen, but what about free web conferencing

A conference call service company that provides web conferencing to its customers has to pay for a number of things in order to provide the service.  Some of those cost items include the following.

  • Software development – If the conference call service company has developed the service themselves then they had to pay to have the software developed in the first place.  And like any software you develop the development doesn’t end there.  There are on going improvements, bug fixes and so forth to fund.
  • Reseller fees- Some conference call services don’t develop their own software, they simply resell someone elses technology.  In this case there is always a cost to the company who is reselling the service.
  • Hosting environment – If you are supporting your own software you need to have a server or servers depending on the number of users to host the software and make it available to your customers. 
  • Internet Connectivity- If you are hosting your own web conferencing service you need to connect it to the internet and the connection needs to allow many users fast access so you will also need a very good and potentially expensive connection.
  • Support Costs – And like any other conference call service you will need to support your web conferencing service with sales and service personnel.

So, if there are all these costs, how does anyone provide free web conferencing?  Well, some conference call service companies will offer a dumbed down version for free hoping you will upgrade because the free version doesn’t do much.  Or the web conferencing service they offer for free is an old version they no longer support and instead of retiring it they simply give it away so you will come to their site and but the other version.  Either way, if you investigate the free web conferencing versions out there you will see that they are not a full version, current representative of what web conferencing can do.  And it just may not have the reliability and capacity you would expect with a service you pay for.  After all it is free so how hard can you complain?

If you really need a good web conferencing service don’t use a free one.  For a low monthly fee you can have access to a web conferencing service that save you time and money wihtout breaking the bank.

Like anyone else who has been in a technology business for a while you tend to develop your own language.  I am no different.  I have been in the telecommunications industry since 1981 and if any industry has its own language telecommunications certainly does.  The glossary for all the telecommunications acronyms being used would probably be 4 inches thick.  It really is its own language.  Teleconferencing as an off shoot of telecommunications is certainly guilty of this too but certainly not so bad.  But for those novices to teleconferencing, otherwise known as conference calls, I thought it might be helpful to explain a few of the main terms used in the industry to help you better understand what you are dealing with.

  • Access Code (Also known as the Pass Code) -  
    The personal access code that allows you to join a conference call. There are both Host and Guest codes used to access a conference call.
  • Access Phone Number – The telephone number used to reach the teleconferencing equipment where you input your Access Code to enter your conference call.
  • Bridge - The piece of equipment that performs the act of connecting multiple callers on a singe conference call.
  • CSP- This is the acronym for Conference Service Provider.  It refer to the companies that provide conference call services.
  • Digital Record and Playback –  A service offered by conference call service companies that allows you to record your conference call and play it back at a later time.
  • Host – The leader or Moderator of the conference call.
  • Mute- The Mute function on a conference call allows the participants to turn off the ability to be heard during the conference call.  The Host also has the abilitiy to Mute all participants.
  • Reservationless - Reservationless means that no scheduling, reservation or advanced notification is required for this type of conference call.  Once you have the Access number and Pass Code you can hold a conference call whenever you want.
  • Teleconferencing - Otherwise known as conference calling or audio conferencing, it refers to a telephone call where 3 or more people are connected and able to talk to each other at the same time.

This is by no means a complete list of terms used in the conference call service, or teleconferencing industry but this sampling should get you well on your way to being fluent in teleconferencing speak.

Is there such a thing as too many Conference Calls?

Over the years the number of conference calls being held has exploded.  It is not hard to imagine why since conference calling saves a company money and time.  But can there be such a thing as too many conference calls?

Let’s face it.  If you work for a company that has integrated conference calls into their culture then you have had those days.  Days where you are jumping from one conference call to another with little break in between.  Such is the nature of conference calling.  You can simply sit at your desk and attend meeting after meeting without leaving your desk.  A conference call saves you the travel time, even if it is down the hall to a conference room, so you can schedule an audio conference back to back with another audio conference and stay on schedule.  One of the reasons companies have adopted conference calls is because they are increasing your productivity without you realizing it.  You can attend more meetings in a day if they are via a conference call and you are saving any travel expenses as well.  But for you the increase in productivity translates into more work.  Not only can’t you get anything done while you are in a meeting whether it is a conference call or in person meeting, but inevitably you get more work to do while in the meeting as well.

So maybe conference calls are too convenient and too easy to use and too inexpensive because if you are on too many conference calls you can’t get anything done.  So even though you have saved all this travel time you now are so loaded with work to do and no time to do it you are struggling and tomorrow there is another slate of conference calls to attend.  Even as a conference call service provider I have to admit that you can have too many conference calls.  But let’s face it.  A conference call is easier to deal with than an in person meeting and after all you just need to say no.  Time management is something everyone can improve on and using your time wisely is all about using all your time as effectively as possible.  And without conference calls time spent travelling to meetings would be completely wasted.  Conference calls are great, just try to tone it down a bit.

Discounted Conference Calling Services

What goes into the cost of a conference call service?  How good are discounted conference calling services?  Does cheaper conference calls mean bad quality conference calls?  Not necessarily.  If you understand the cost model of a conference call service company you will understand how you can get discounted conference calling services without sacrificing quality and reliability.

  • Sales Cost – A conference call service company that has been in existence for a while probably grew using typical Sales and Marketing efforts with salespeople doing cold calls to produce sales.  That means the conference call service company had to pay salespeople and probably has sales offices around the country or a telemarketing center which has fixed costs that must pay.  A newer conference call service company offering discounted conference calling services can take advantage of internet marketing without the need for a large sales force or remote offices.

  • Back Office Cost – The older conference call service companies have not automated their billing, collections and other activities and have a higher cost to operate.  A newer conference call service company offering discounted conference calling services can automate billing, collections and virtually all back office operations which greatly reduces the cost to the company.

Conference Call Service or the Phone System?

When I tell people what I do for a living they are surprised that there is an industry that exists to provide conference call services to businesses.  Many people think that the phone company is who provides the service.  Which has always been true.  But private companies have been providing a higher level of service for lower costs since the divestiture of AT&T in the early 1990s.  The other thing that people want to know is why people don’t just use their phone system which usually has the capacity to run a conference call.  Well, there are a number of reasons to use a conference call service instead of a phone system conference button to hold a conference call.

  • Phone systems have capacity issues – Most phone systems can only handle a limited number of participants on a conference call.  And you are also limited by the overall number of phone lines on the system.  If the people in the office are using a number of lines to make calls you may be limited with the number of people you can get on a conference call.
  • Phone systems require you to connect the participants – In order to connect people to a conference call using your phone system you will need to dial out to the participants through the phone system.  You have to get the people on the phone and sometimes they may be on the phone or out of their office and you can reach them by dialing out to them.
  • Call quality on a phone system degrades as you add participants – Phone systems are not made to hold conference calls and as you add participants the voice quality in the conference call degrades.  The more people you add the worse the overall quality of the conference call. 
  • Most people have difficulty operating the conference call function on a phone system – Since there is no standard on how the phone systems assemble a conference call you will need to learn how to assemble a conference call using the phone system.  Most people do not use this function often enough to be proficient at it and are not able to smoothly carry out the procedure.

The bottom line is a phone system does not provide a high quality conference call experience compared to a conference call service.  A good conference call service company provides a service that is easy to use and gives you an experience that is equal in quality to meeting in person.  And at the rates that conference call services are currently available it is no wonder that most people opt to do a conference call using a conference call service instead of a phone system.

Don’t get burned by a Conference Call Service company

I speak to many customers who come to Zip Conferencing after being “burned” by another Conference Call Service company.  I guess it is a factor of the competitiveness of this business, but I can’t see how tricking your customers is going to help you in the long run.  Here are a few ways you can be misled by a conference call service company.

  • Access is not Toll Free – Many conference call companies including the Free Conference Call companies offer an attractive rate that may look good but actually have hidden charges.  Any conference call service company that pushes a local or toll connection is making you pay long distance charges to connect to your conference calls.  It doesn’t appear on your conference call bill but it will add to your bottom line cost for you and your participants.
  • Long Term Contracts – Some conference call companies will make you sign a long term contract in order to get a good rate for the conference calls.  If your business needs change or your conference call needs change you can find yourself paying a penalty to get out of a contract for services you no longer need.
  • Hidden Charges – Make sure that all of the charges you will get for the service are spelled out ahead of time.  Some conference call companies will fail to tell you about connection charges or set up charges that you did not expect when you signed up for the service.
  • Per Moderator Charges – Some companies will charge you to add users to your account who can hold conference calls.

Conference Calls during Weather Emergencies

Washington, DC has received a record amount of snowfall this winter and there is more on the way.  Places like Boston and Chicago are used to getting lots of snow and dealing with it.  Washington, DC not so much.  The government and private businesses in the area have been forced to shut down their offices while they try to clean up after the storm.  For most businesses, taking days off for a weather emergency is just not that practical.  Conference calls provide the means to continue to conduct business during a weather emergency.

How to Participate on a Conference Call

I have spent a lot of time talking about how to host an effective conference call.  But what should you do if you are a participant?  In order to have a godd conference call it takes a well prepared host and it also takes participants who know how to behave on a conference call.  Here are a few tips if you are a participant on a conference call that will help you get the most out of the conference call.

  • Be On Time – The first thing you can do as a participant is show up for the conference call on time.  When you don’t show up on time you are showing a lack of consideration for the Host and the other participants alike.  Because even if the Host starts the conference call on time wihtout you or not you are causing a delay and/or an interruption to the meeting.  And you have to assume you were invited to the conference call because you are recognized as a valuable contributor to the conference call.  Given that assumption you need to be on time to the meeting and ready to participate.
  • Be Prepared – Hopefully the Host sent out an agenda for the conference call ahead of time.  At the very least you should have an idea of what the conference call is meant to address and you have a responsibility to be prepared for the meeting.  That could mean reviewing related documents or actually being prepared to present during the conference call.
  • Mute Your Phone – This is not always necessary, but all participants should be aware that even if you are being quiet the other people on the conference call can hear you.  Our conference call service equipment produces a very clear audio connection so even just the typing on your computer is easily picked up by the microphone on your phone and is transmitted across the conference call to all participants.  It is always the best idea to simply mute your phone unless you are speaking.  Most phones these days have a mute button and if not the conference call service should have a way to enter a command through the phone to mute your line.
  • Identify Yourself – On a conference call there is no way for the Host or other participants to identify you unless you do it.  The best practice is to state your name when you are going to speak so people know who is spoeaking.
  • Participate – It is easy to get distracted on a conference cll because you are usually at your desk and still have access to computers, papers, etc.  But you were invited to the meeting because your participation was deemed important and if you were in a face to face meeting you would not even consider answering emails while in the meeting.  So on a conference call participate just like you would in a face to face meeting.

If you treat your participation on a conference call just like you would an in person meeting then your conference call participation will be a success.

Managing Large Conference Calls

There was a time when you would not even think about running an automated conference call for 20 or more participants.  If you were going to run a conference call of that size you would run the conference call with the assistance of an operator.  And even today, an Operator Assisted call might be the right conference call solution depending on your application, but the conference call technology has gotten to where running a large automated conference call is manageable if you know a few tricks.

The main problem with running a large conference call is the noise the audience can introduce during the call.  It is bad enough when there are just 4 or 5 participants and one of them introduces noise because they are on a cell phone, rustling papers on their desk, talking to people in their room, etc.  Just imagine having 100 people on the call.  The odds that someone is going to make noise during the conference call are pretty good.  In fact, virtually certain.  So, what can you do to hold an orderly conference call with a large audience?  Here are a few tips to make for a successful large conference call.

  • Turn Off any Tones –  Most conference call service companies provide tones on the conference clal so you know when a participant joins the call.  This is fine when you have 5 people on the conference call, but can be more than a distraction when there are 20 or more.
  • Mute All – The conference calling service should provide  a way to mute all participants as the Moderator of the conference call. 
  • Use an online interface if offered – Some conference call service companies offer an online conference call interface that allows you to see the callers and control the audio portion of the conference call.  This can be very helpful, especially if you intend to open up to questions from the audience.  That way you can see the callers and manage the call easier.
  • Use Web Conferencing – In addition to enhancing your conference call with visual presentations, a web conference can allow you to manage a Q&A session better than just using an audio conference.  With a Web Conference you are giving your participants a way to raise their hand for questions and a way for you to open up an individual line to allow them to ask their question.
  • Practice – The best thing you can do to insure your success with a large conference call is to run a practice session to make sure you are familiiar with all of the conference call controls and how to use them.

If you follow these tips you can run a large conference call successfully without the need to use an expensive Operator Assisted Conference Call.

Conference Calls for Emergencies

First of all, let me offer my most sincere condolences to all in Haiti who have lost loved ones in this terrible earthquake.  I know that the US and the rest of the world is working as fast as they can speed help to that country and I wish them all the best in this difficult time.  Certainly in a disaster like this many resources have to be pulled together to muster the kind of support necessary to attack the problem.  And a great deal of coordination needs to happen to have all of the resources work effectively together to speed the recovery process.  Conference calls are an excellent way to pull together the various people and agencies to coordinate their efforts.

A major disaster like the one in Haiti does not happen every day, thankfully, but it is easy to see how communication is important to help provide the kind of coordination necessary between the various agencies.  Conference calls allow people to connect without the need to be in person and in this case across the world.  Since conference calls are accessible from around the world there is no limit to the where the people are located on the conference calls.  Participants from various countries can even get together to help coordinate their efforts.

As a small business owner the ability to coordinate global efforts using conference calls probably won’t apply to you.  But having a conference call service ready in case of a disaster for your company is a really good idea.  Emergencies in your business could happen at any time and being able to communicate with the rest of your staff and do it quickly can sometimes mean the difference between a small inconvenience and a total disaster.

Are Conference Calls Too Convenient?

We are more connected than ever before.  Between the email, voice mail and BlackBerry or other PDA it is difficult to escape the endless stream of information from your work and personal life.  It just seems to me we are heading to where there is no escaping work and like many of the other modern day work convenience maybe conference calls are getting too convenient.

Let’s face it, you can do a conference call from anywhere.  Just like you can talk to people from anywhere, I don’t even want to know all the places that calls are done from, conference calls are as convenient as your next cell phone call.  When cell phones first came out the conference call service industry would discourage people from using them on a cell phone because they introduced a lot of noise and the networks were such that a dropped call during the conference call was pretty much a certainty.  So, naturally our customers would call us and complain about the conference call service because they were losing participants during the call of there was a lot of noise on the call.  And inevitably when our operators would join the conference call we would identify the culprit and most times it was a participant on the conference call on a cell phone.  Well that has certainly changed.  Now most of the participants on a conference call are probably on a cell phone.  With the cell phone networks improvement and better equipment you can join and participate on a conference call from anywhere you can get a cell phone signal.  And that is just about anywhere.

And now that people can get you just about anywhere they can also get you just about anytime.  People seem to expect that since you have a cell phone than I should be able to reach anytime, anywhere.  So, before when you would schedule a conference call with Asia, for instance, the participants would schedule the conference call for a time that was good for all concerned, knowing that people needed to be in the office during normal work hours to conduct the call.  But know it seems that people just assume you can get on a call anytime.  My wife, for instance, is regularly asked to attend conference calls with other parts of the world at all hours of the night.  The other night she had three conference calls from 7:00 pm to 9:00 pm at night with Australia and Asia.  They just don’t seem to think that there are any boundaries since you are always accessible.

Conference Call Security

The big buzz word these days in the news is security, so I thought it might be appropriate to spend a little time to discuss conference call security.  In general conference calls are pretty secure.  It israther difficult to tap into a conference call from the conference call service provider side of things.  The conference call equipment is located in a secure environment, its directly connected to carrier networks and each piece of conference call service equipment has thousands of participants on hundreds of calls.  It would be pretty difficult to tap into a piece of conference call service equipment unless you are an operator for the conference call service company and listen in on a particular conference call.  That having been said, there are some people who want to make sure that their conference call is secure so here are some options on making a conference call even more secure.

  • Change the conference call passcode frequently – Many people use the same conference call pass code for all of their conference calls.  Like any password you have it is good practice to regularly change the passcode so that it cannot be compromised.
  • Add a PIN number to the conference call passcode – With some conference call service companies you can add an additional PIN number for each participant that requires them to input in order to join the conference call.  This adds a layer of security and identifies them on the conference call.
  • Lock the conference call – Most conference call service companies allow you to lock the conference call so that additional participants cannot enter the conference call after it is locked.  This feature usually locks out any operators from the conference call service company as well.
  • Monitor the conference call from your PC – Some conference call service companies provide a feature that allows you to monitor and control your conference call through a web interface on your PC.  That way you can see the participants and make sure that only the participants you have invited are on the conference call.
  • Roll Call – Whether using a PC interface or through the telephone you can usually automate a roll call with the participants on a conference call so that you know who is on the call.
  • Music on Hold – If you are concerned about the participants being able to speak before the Moderator joins or use the conference call information without the Moderator you can make it so that the conference call will not start without the Moderator and keeps the participants on hold with music.

I think that everyone is aware that conference calls can save you time and money.  It is easy to figure that holding a conference call is going to save you money if the alternative is flying to someone’s location to hold a meeting.  But what I think a lot of people miss are all of the options available with a good conference call service provider.  I know when I started in the teleconferencing industry in 1995 I had been on conference calls and just assumed that it was just a simple matter of getting a dial in access number and a pass code and holding your conference call.  Boy, was I wrong.  Most people have no idea of all of the options available for audio conferences and web conferences.  And that is why a good conference call service company should act as your partner and help you discover all of the options available so that you can customize the conference calls you hold to fit the needs of your company.

Conference Calls can Help Gauge the Economy

I heard that it is a good thing that the Yankees won the World Series because the stock market has an average gain of 10% in the year following a win by them in the World Series.  Well, as a Red Sox fan I have a hard time feeling good about them winning it all but at least there is a fringe benefit.  And we can’t win it all every year after all.  ;)  The point I wanted to talk about today was how you can get a read on the economy by the usage of conference calls as well.  And it is probably a little more reliable than the connection between a baseball game and the economy too. 

Over the eyars of being in the conference call industry I have noticed a couple of interesting things that can help indicate how my day is going to go.  The first thing I notice is the traffic on the way to work.  If it is a busy traffic morning there are going to be a lot of conference calls held that day.  Now, in some respects you would think just the opposite.  If people stay home they would need to hold meetings remotely and a conference call is a sure bet.  But actually, most of the conference calls are being attended by people in their place of business and when people are staying home they are probably on holiday and are not doing conference calls.  So, as business traffic picks up, so do the number of conference calls.

The other thing I notice is the type of businesses that sign up for a conference call service is a good indicator of the health of that segment of the business.  And when I see a greater number of sign ups than business in that area is probably picking up.  Lately I have seen a number of real estate offices and associations signing up for our service.  And after speaking to some Realtors I know it appears that the real estate market is picking up some steam after a tough couple of years.  That is good news for all of us since that is one of the leading indicators in the economy. 

Beyond the signing up for a conference call service I also notice the amount of conference calling done by my customers in general is a good indicator of the economy.  And certainly over the past year the financial sector has been especially hard hit.  So, companies that do mortgages for instance, just aren’t writing as many mortgages so they are not doing as many conference calls with their offices and vendors to talk about mortgages.  And so forth.  But again the good news is that the volume of conference calls is starting to pick up in a number of industries that have suffered over the past year or two.  It has a ways to go, but in general based on the number of conference calls being done it appears that the economy is on the mend.  Maybe we can thank the Yankees and conference calls for the good market over the next year!

Are Conference Calls Simply a Commodity?

When I first joined the conference call service industry 14 years ago the average cost of a conference call was around $.20 per minute per participant, today it is around $.07 per minute and it is fore casted to decline to around $.05 per minute average by the year 2013.  What has driven this decline and are conference calls simply a commodity that should be judged on price alone?

The decline in the cost of conference calls has been driven over the years by competition in the industry.  The lowering of the telecommunications costs associated with providing the conference calls has allowed conference call service companies to lower their rates in order to capture business from the competition.  Also, the conference call service equipment has evolved over the years and the price of the equipment to provide conference calls has also come down in cost as the technology has gotten better.  Like the long distance call itself, as the costs have declined and competition increased we have seen a constant pressure on conference call service companies to deliver conference calls at an ever decreasing revenue.  Ultimately, as the prices continue to decline some of the service associated with conference call services will suffer unless people recognize that conference calls are not a commodity and are willing to pay a little more for the service part of it.

I have detailed in other blog posts about all that goes on behind the scenes at a conference call service company, so I won’t go into great detail here, but here is a quick summary.  First, you need high quality telecommunications connections from a large carrier that provides redundancy in their network or you risk quality issues and outage possibilities.  You then need to get the best conference call service equipment or you will not get the best results.  Your own network needs to be constructed with fail-over and back up contingencies.  And finally, you need to provide a level of customer service that provides your customers with a good customer experience.  All of these things cost money to the conference call service providers.  I don’t think that customers will be happy with a conference call service that has quality issues or doesn’t answer the phone when they need help or has an outage because the telecommunications carrier they use had a lengthy outage.  So, customers want to pay as little as possible for a conference call but certainly do not want to have an inferior service.

So here we are in the conference call service industry.  Given today’s available telecommunications rates which are not going down any more, the price of the conference call service equipment which is also not declining and the cost of personnel and I think you can see that the cost of the conference call is approaching the point where it cannot go any lower without sacrifice.  And I think if you ask the customers you will find that although they like to save money, a conference call is important enough to their business that the quality, reliability and service really do matter.  Conference calls are not simply a commodity.

Conference Call Telephones

One of the best reasons to use a conference call service instead of trying to do it yourself is the quality of the connections.  A conference call service company uses equipment that provides full duplex transmission between all of the parties on the conference call.  That means that more than one person can talk at the same time and all of the voices will be heard equally the same across the conference call.  It is just like being in the same room together.  What people experience when they are on a conference call, however, may not be the same thing.  That is because many times the terminal equipment or telephone the participants are using are not full duplex.  So you see, the conference call is only as good as the telephones that are connected to it.

For many years there have been a handful of manufacturers of high end telephone equipment that uses similar technology as conference call equipment and provides a full duplex transmission through the speakerphone.  If you have ever been in a conference room you have probably noticed one of these funny shaped telephones sitting on the conference table.  The telephone is designed to pick up voices from around the conference table so many times they have a triangular or star shape to them.  And sometimes the conference speakerphone has been installed in such a manner to allow a separate microphone at each station at the table to allow individual participants to mute themselves at their seat.  The main mission of these funny looking telephones is to provide a full duplex speakerphone for the conference room.  That way the participants who connect to the conference call can hear everyone in the conference room and the conference room participants can talk freely without interruption and converse with conference call participants just like they are in the room together.

Without a full duplex speakerphone, once a participant has taken the talk path no one else can talk until that person stops talking.  This can make for a very frustrating experience on a conference call.  If you are unable to add discussion points while someone is talking the whole concept of being able to interact at a distance using a conference call has been lost.

There are a number of manufacturers of these types of telephones.  The one manufacturer that everyone is familiar with is the Polycom.  They were the first to develop and manufacturer this type of specialized conference call phone and have become the Kleenex of the full duplex speakerphone.  Many times people will simply refer to the telephone as a Polycom regardless of the manufacturer.  As long you make sure that the speakerphone has full duplex capabilities you will have a good experience using a speakerphone for your conference calls.

Conference Call Issues Unmasked

Being in the conference call industry for over 14 years I have seen a lot of issues with conference calls.  And many of them are directly related to the conference call service company.  The technology to make a conference call is sophisticated and involves many components that can fail.  So naturally, no matter what measures a conference call company takes to prevent a conference call issue, they can still happen.  Luckily, over the years the technology has gotten better, and the other components have also gotten better.  Today, the conference calls are clearer and more reliable than ever.  So why do people still have problems on conference calls.  Some of the issues that occur on a conference call will never go away, because the issue is caused by the people on the conference call and that will never change.  Here are some of the common issues you will find on a conference call.

  • Echo – Echo on a conference call can be caused by many things, including issues with the telephone carrier.  But these days the issues that used to occur on a long distance call have largely been reduced to the point where it is unlikely that the long distance telecommunications carrier was the culprit.  Usually echo on a conference call is caused by one of the participants having more than one connection on the conference call up in close proximity to another connection.  Sometimes someone in a conference room with a speaker phone will also have another phone connected to the conference call.  To eliminate the echo you simply need to mute the offending connection and it will go away.
  • Noise on the call – It is not impossible for the telecommunications carrier or conference call service provider to have an issue, but these days the biggest introduction of noise onto a conference call is one of the participants.  Usually it is someone on a cellular phone and they are either in a moving vehicle or in a high noise situation like an airport.  The best way to eliminate the noise is for that participant to mute their line until they need to speak on the conference call and then they can just unmute themselves.
  • Hold Music on the call – Many people do not realize what their phone system sounds like to a caller when they place that caller on hold.  So, usually what happens is a participant will step away for a minute and place their phone on hold while they are in the conference call.  This will introduce whatever is on their phone system onto the entire conference call.  The way to eliminate this issue is to use the mute function in the conference call instead of placing your phone on hold.
  • Too little or too much volume – Sometimes a connection will have a low or high volume when connected to the conference call.  This can happen for many reasons.  Conference call service equipment adjusts connections automatically to compensate for different levels but you can also adjust the volume of individual participants from within the conference call.

Conference Calling goes Mainstream

I have had the fortune to be involved in a few industries as they have gone from the early adoption phase to the accepted norm stage.  I was in the telecommunications industry shortly after the divestiture of AT&T.  I was in the paging industry as it grew wildly and then died just as quickly with the adoption of the cell phone.  And then I joined the conference call industry and over the past 14+ years I have seen the conference call service industry go from a niche application mostly used by the legal industry to a widely used business tool.  Conference calling has truly reached the level of mainstream acceptance.

Since I have been in the conference call service industry for over 14 years, I have tried to share some of my knowledge of what is behind the curtain at a conference call service company.  And there are a number of differences that you can and cannot see when you look at different conference call service companies.  But many times you will never feel the difference unless you have an issue with a conference call service company you may not notice if they have a back up system, etc.  What you can feel and should feel right from the start is service.

Conference Call Services with No Contracts

I have been in this business for a long time and in a service business like this I feel it is important to build a conference call service that customers will appreciate so that they will continue to use the conference call service for a long time.  And this philosophy has paid off over the years as customers have referred other customers to my conference call service company and thus the business has grown.  What surprises me, in this day and age with all the competition available, that some conference call service companies can make you sign a long term contract in order to buy their service.

Now don’t get me wrong, as a business person I certainly understand the value of a contract with a customer, but in the end a customer will get out of a contract if they want to.  So, what is the value of having someone sign a contract for your conference call service if they are simply going to leave you when the contract expires because they don’t like your service.  It seems to me that you really are only as good as your last conference call and as a conference call service provider you should be confident enough in the level of your service that you don’t need to strap people down in order to be confident that they are not going to leave you.

Another reason I feel conference call service companies should be flexible with customers is sometimes customers don’t need to run a conference call every month or sometimes their business needs change and as a service provider I feel a conference call service provider should be aware of that.

So, what makes for a good conference call service?  Is there a difference in conference call service providers?  What are the main things that you should make sure you get in a conference call service.

I have been in the conference call service business for over 14 years, so I know a lot about what goes on behind the scenes in a conference call service company.  But, for the average user, has no idea and so many of the conference call service providers look the same from the outside how would anyone know the difference?  Maybe I can shed some light on some of the main things to look for in a conference call service company so you know what to look for and what to watch out for when selecting a provider.

Services

First, you should make sure that the conference call service provider you are looking at has the service to match your needs.  You will need to know how many conference calls per month your company does.  This is easily calculated by finding out what the average number of people on a conference call is and how long, in minutes that they are typically on the conference call.  If most calls have 4 – 5 people for about an hour you simply take the number of participants (4) times the number of minutes (60 for an hour) and you will see that you generate 240 minutes per conference call.  Then by taking the number of conference calls per week that you do you can determine the number of minutes per month.  If you do about 3 conference calls per week then 3 times 240 times 4 weeks in a month gives you 2,880 conference call minutes per month.

Now that you know how much conferencing you do you should confirm the features that the conference call service provider offers to make sure it is what you expect.  Most conference calls that you have probably used in the past are the type that is called reservationless.  You are assigned a toll free access number and a passcode to get into the conference call.  Unless you want your participants to have to pay long distance charges while they access your conference calls you should make sure that the access is toll free.

There are a number of other features that you may or may not need so you should make a list of the things you need in a conference call service and confirm that the provider you are looking at does offer them because not all conference call service providers offer the same services.  A few features to consider are recording of conference calls, transcription, host controls, online account access and volume control on the conference call.

Quality

Quality really comes down to one simple thing.  Does the conference call sound good?  The sound on a conference call is really based on two factors, the conference call equipment itself and the network that connects the conference call equipment to the telephone network itself.  Since there are many options for a conference call service provider to choose from here, your best indication of quality is the conference call itself.  Can you clearly hear the participants, etc.  Most conference call service companies will offer a free trial of some sort to hear the quality of the conference call.

Reliability

Reliability is a tough thing to measure when looking at a conference call service company.  But you can find out a little about their infrastructure to give you an idea of how reliable their network may prove to be.  Does the company have more than one piece of conference call equipment?  If there is a problem on the conference call equipment your conference call is on can they move your conference call to another piece of equipment?  What long distance network are they using?  A major provider like AT&T or Sprint will have a network that provides some redundancy in the event of a problem where a smaller provider may not. 

Support

And finally, support.  You may never need to lean on a conference call service provider’s support team, but if you do will they be there when you need them?  Does the conference call service company offer 24/7 support?  Do they assign a representative to your account to provide a contact in case you have questions or issues that need to be addressed?  What about online support?  Does the conference call service company offer online self help in the form of a searchable database, user guides and account access tools so that you can make changes to your conference calls yourself?

So, when you are reviewing conference call service companies, remember that price alone should not be the only thing you look at to determine which company is right for you.

I get asked all the time, “How is the conference call business doing?” and I always answer “Great!  Because in the 14+ years I have been in the industry there has always been a good reason why more and more businesses are adopting conference calls.  And in a tough economy there is all the more reason for businesses to be doing conference calls.

Conference Call Options – Keep it Simple

With Zip Conferencing, like many conference call service providers today, you can add a lot of options to your conference calls.  But, like most things, it may be best to just keep it simple.

Let’s take the way the conference call is set to start.  With Zip Conferencing, the default setting says that participants can speak to each other before the Moderator or Host of the conference call joins the conference call.  For most meetings this is preferable and participants are not left wondering where everyone is while they wait for the Host to join the conference call.  The other way to run the start of a conference call is to have the participants listen to music until the Host joins the conference call.  If the Host does not join the conference call the participants are left wondering what is happening.  So, for smaller meetings I would suggest you go with the open meeting approach which mirrors a regular in person meeting. 

Now that you have the participants on the call most people like to know who is on the conference call and at least know when someone joins the conference call.  This can be accomplished a couple of different ways.  The easiest is to allow a tone to play when a participants joins or leaves the conference call.  The tone is short and unobtrusive if there are not too many participants and if the participants are generally on time.  Another way to handle this is to have the participants name play in the conference call when they join or leave the conference.  But depending on how their name recording goes, this method can be a little disruptive during a conference call in my opinion. 

Another setting that can be troublesome if you are not careful is when a conference call is set to disconnect all participants when the Host leaves the conference call.  I think that many Hosts will tell you that the idea of this is good, but in practice the participants may want to carry on the conversation at the end of the meeting after the Host has disconnected.  If the Host enables this feature the participants are left to try to contact each other another way if the Host leaves the call.

I find that the use of too many of these bells and whistles only complicate things and can actually make what should be a simple thing, holding a conference call, complex and annoying.  So, my suggestion, like many things in life, keep it simple and you will probably be better served.

Free Conference Calls

I am sure you have seen them if you have done a search for conference calls on the internet.  Free conference calls.  So what is the deal?  Are they really free?  How do they afford to do that?

Well I am sure you have also heard the saying, “There is no such thing as a Free Lunch” and with free conference calls it is all too true.  First of all who had the idea in the first place and how do they make money?  A number of years ago someone had the idea to give away conference calls in order to generate traffic to a carriers’ network, because the carrier gets paid by the long distance carriers a small amount of money to terminate the call on the local network.  So, even though to you the conference call is “free” the conference call service provider is paid by the carrier for the traffic they are generating.  So, then it is a Free Conference Call, right?  Not exactly.

The problem with the free conference call is that you have to pay a long distance charge to whoever your long distance provider is in order to get to the location where their conference call equipment is installed.  Let’s say that their equipment is in Kansas City for instance.  You and all of your participants have to pay the long distance charge, per minute to connect to Kansas City.  Now that rates for toll free conference calls have come down, why would you want to have hidden charges for you and your participants?

There are other problems with many of these free conference call services.  Some are using VOIP to connect the call resulting in poor quality.  Many will have capacity issues because they really can’t afford to have lots of equipment sitting idle because their financial model is so thin.  Many of the conference call features you will get with a toll free conference call service provider are not available with a free conference call service provider.  In order to compensate for some of these shortfalls some of the free providers started offering toll free conference calls as well.  But the pricing for these services is higher than some of the conference call service providers that are built to provide a high quality service like Zip Conferencing.  So, you end up paying a higher price for a lower grade of service. 

So, why would anyone use a free conference call service?  Because its “free”.  In the end, like so many other things in life, with conference calls you get what you pay for.

Conference Call Sub-Conferencing

There are a number of features that are available as Host of a conference call.  People who regularly conduct conference calls are familiar with some of the more widely used Host Controls on a conference call like mute, un-mute and conference call recording.  But, many customers do not familiarize themselves with all of the Host Controls that are available because if they did they would probably be used more often.  A perfect example of this is the sub-conference feature available with Zip Conferencing’s conference call service.

Sub-conferencing allows you to place participants in a separate conference room so that you as the host of the conference call can have a private conversation with the participant.  This can come in very handy in many situations and relieve you of the need to have a separate conference call with participants.  One of the applications that immediately comes to mind with this feature is in the legal community.  If a defendant and their attorney are meeting with a litigant and their attorney they frequently have a need to talk privately amongst themselves to discuss settlement offers, strategy and so forth.  If they are in the same location when they are on the conference call then they can simply mute themselves and have a discussion and then rejoin the conference call.  But if they are in separate locations they can’t accomplish this.  With sub-conferencing they can go into their own conference call and have the discussion and then rejoin the main conference call when they are ready to continue the main discussion.

To engage a sub-conference from within the conference call, a Host would simple press *21 on their touch tone phone and follow the prompts.  You can have as many as nine separate sub-conferences going on any conference call.  Essentially you simply have participants enter one of the nine sub-conferences by entering the sub-conference room number between one and nine.  The participants do need to be careful to enter the correct number of the sub-conference on the conference call.  Any number between one and nine is valid when you engage the sub-conference feature so you want to make sure you go to the correct sub-conference.

Sub-conferencing is one of the many features available to the Host of the conference call by using the Host Control menu.

Is a Conference Call Service a Commodity?

In the past 15 years I have watched the average cost of a conference call service go from over 20 cents per minute to less than 10 cents per minute.  In that time one of the fundamental costs of the conference call service business, the cost of telecommunications, has dropped a lot so conference call service companies have been able to get more aggressive in their pursuit of new business by dropping rates as well.  As prices continue to fall and conference call service companies continue to think up new ways to package pricing to make the rates more attractive I thought it would be good to examine if a conference call service is a commodity.

In the eyes of the consumer on the surface it is difficult to see any difference certainly in a conference call service, especially if you are not too familiar with conference call features and so forth.  But, behind the curtain there are many things that distinguish differences in conference call services.  Some are plain to see, like the type of access the conference call service company offers.  A local access number is less cost to the conference call service company so they can charge less, but you will incur hidden cost by having to call a long distance number to connect to the conference call.  Another obvious difference can be the number of participants allowed on a conference call.  The more participants you can get on a call raises the cost of available equipment to the conference call service company.  And support is another cost that cannot be hidden.  If the conference call service company offers 24/7 support, which you would want, they will need to pass that cost on as well.

Conference Call Access – Toll or Toll Free

There are two basic ways to connect to a conference call, through a toll or toll free phone number.  Which one is best for you? 

Originally, the way you were connected to a conference call was to have the conference call operator call out to you and connect you to the conference call.  You didn’t have to worry about access numbers or codes, you simply waited for the call from the operator to come to you and connect you to the conference call.  These types of calls still exist, but they are generally expensive since an operator is involved in the process.  They are also not very convenient or even realistic in today’s environment when you could just as easily be joining the conference call from your cell phone while travelling.  So, when the reservationless type conference call was invented where you dial an access number and put in a passcode to connect to the conference call there were two main ways to connect, a toll free access number or a toll access number.  Ten years ago the cost of telecommunications was much higher and the cost of toll free access was much higher.  So, having an alternative made a lot of sense to some people.  Let’s examine both w2ays to connect to a conference call and see if having the local or toll connection still makes sense.

Toll or Local Access – A toll or local access number for a conference call is simply a number that is local to where the conference call equipment is located.  Since the conference call service company does not have to pay any long distance charges to get you connected to the equipment they can offer a lower rate to you.  Another advantage of this type of conference call access number is the fact that you access this number from anywhere in the world.  The disadvantage of this type of conference call access number is that you and your participants have to pay a toll charge to call this number.  Let’s say the conference call equipment is in Boston, MA and you are calling from California.  You will pay your long distance phone company a per minute charge to be connected tot he conference call quipment and the toll access charge to the conference call service company.  If you do not want you customer, prospect or employee to incur any charges for attending your conference call then you should not use this type of number.

Toll Free Access – A toll free access number for a conference call is an 800, 866 or 877 number that you would dial to connect to the conference call.  The conference call service company is typically going to charge a little more for this type of access because they are paying the long distance charges to connect you to the conference call.  The advantage on this type of number is that you or your participants do not have to pay any access charges to your long distance company to access the conference call.  This type of call is good if you do not want your participants to incur any hcarges to attend your conference call.

As prices for long distance have declined over the years there has become a smaller difference between the cost of local versus toll free access.  Today some companies, like Zip Conferencing, have rates so low that there is no difference between the cost of local and toll free access to the conference call.  And with rates less than 5 cents per minute it is hard to justify the reason to go with a local number since all of your participants will have to pay to get to your conference call.  The most convenient and now the lowest cost method to access a conference call these days is using a toll free access number.  www.zipconferencing.com

There are a  fair number of conference call service providers in the market today offering conference call services at some pretty low rates.  Among these conference call service providers are a host of different features available for conference call users to choose from.  I have touched on some of these features in previous posts, but what is really important about a conference call?  The most important aspect of any conference call is that is work flawlessly.  And even though this is taken for granted, if the conference call service provider does not design their network correctly you can have lots of problems.

The first thing that you need to have is availability.  To make sure that your conference call is available when you go to use it, the conference call service provider needs to build redundancy and capacity into their network.  Conference call equipment is very complicated and like any piece of high tech equipment can have issues from time to time.  If you use a conference call service provider that does not have provisions for redundant equipment and the conference call equipment hosting your conference call has a problem you will have a problem.  The capacity of the conference call service provider network can also be a problem if they get unexpected traffic on their network.

The telecommunications network that your conference call service provider connects to is an important factor as well.  If the conference call service provider chooses a telecommunications provider solely on price, they may be playing with fire if their provider does not have a network with sufficient back up and networking options.  If a back hoe cuts a fiber link do they have a way to route around it and continue service without interruption?  If the telecommunications provider that connects to your conference call service provider has an issue and can’t get your call around the issue your conference call can’t happen.

There have been do-it-yourself conference call service appliances available on the market for many years.  And like the conference call service pricing, the appliances have gotten less and less expensive.  So does it make financial sense to buy an in house solution or continue to use a conference call service?

There are several issues to consider if you think that you do enough conference calls to think about buying an in house solution.  The biggest reason to even think about firing your conference call service provider is cost.  And most of the things to consider revolve around some aspect of cost.  What are some of the costs when you want to do conference calls yourself?

  • Telecommunications Cost

  • Personnel Cost

Cost of the Conference Call Appliance – The cost of a conference call appliance can be anywhere from one thousand to hundreds of thousands of dollars.  The equipment used by conference call service providers, like Zip Conferencing, is hundreds of thousands of dollars.  But if you want to try to do-it-yourself with a lower cost piece of conference call equipment your are going to pay at least a thousand dollars for it.

Maintenance Cost – Buying a piece of conference call equipment is just the beginning.  Next you will need to pay a maintenance fee to the manufacturer of the equipment to remain up to date with the software that runs the machine.  Like any  other computer on your network, you will need keep the machine up to date if you expect to have the latest security, patches anf eatures to keep the conference call equipment up to date.

Personnel Cost – And lastly, you will need to have someone in your company assigned to maintaining the conference call equipment.  No matter how self service the conference call equipment is, you will still need to maintain it and administer it.  If someone in your company is performing this function there is a cost to you.

So, let’s say you can pay $.01 per minute for toll free traffic to the conference call equipment.  On the surface sounds like you could buy a piece of conference call equipment and save money.  The circuits for the telecommunications connections are at least $1,000 per month for a T-1 which only provides 24 circuits.  So if you want more than 24 total conference call connections at a time in your company you will need more than 1 circuit.  Maintenance on the equipment is going to be at hundreds or thousands of dollars a year depending on the equipment and then someone is going to need to administer the conference call equipment.

Conference Call Service Pricing Options

There certainly are a lot of choices out there for conference call service companies.  It seems like there are a dizzying number of choices, so I thought I would pull back the curtain and boil down what is really going on with the pricing options out there.  If you are thinking about choosing a conference call service company and you can’t tell what the difference is in the pricing you may want to read this article.

There are really just a few different flavors of conference call service pricing.

  • Toll Free or Toll per minute billing
  •  Flat Rate Billing
  • Monthly Subscription Plans

Toll Free or Toll per minute billing- The industry standard has always been the Toll Free or Toll per minute billing method.  The price per minute is calculated using a standard formula in the industry to determine conference call minutes.  Since a conference call is like having several long distance calls all going at the same time, the calculation of conference call minutes is on a per participant basis.  That means that the price per minute you pay is multiplied by the number of participants on the call.  And usually the minutes are calculated by the connection time of each participant.  That way if a participant on the conference call is only on the call for 5 minutes and the conference call lasted 60 minutes, you will only pay for 5 minutes for that participant.  So the formula goes like this, # of participants X # of minutes = total conference call minutes.  So this pricing method simply takes the total number of minutes you did and multiplies it times the rate per minute you pay.  This pricing method is good if you don’t know how much you will use a conference call service or if you only use the service infrequently.

A couple of things to be aware of with this method.  First, the access method Toll or Toll Free.  Although many conference call service companies will put out an attractive rate for conference calls on the internet, it many times is for a toll connection.  The problem here is that a toll connection has hidden costs for the participants as they will need to dial a long distance number to connect to the call.  The last thing you want if you are inviting guests to a meeting is have them incur any costs.  Second, is if the conference call service company rounds minutes on calls to a minimum such as 10 minutes per participant minimum on a call it can really add up and end up costing you a lot more. 

Flat Rate Billing – This method of pricing is based on you paying one set price and then you can do as many conference calls as you want monthly.  Typically this method has some restrictions that go along with it.  You will usually only be able to have a small number of participants on the call and you may have to pay a separate monthly subscription for each user in your company.  It also it usually for only toll access which again means that your participants will have to pay a long distance charge to get to your conference call.  In the end, these types of services can end up costing you more than the per minute billing method depending on how you use the service.  The economics for conference call service companies are no different.  We pay for long distance like everyone else, so no one is going to give it away.

Monthly Subscription Plans – This pricing method has become popular lately since you can obtain a pretty good discount if you use a conference call service regularly and you know how many minutes you typically do a month.  The pricing works just like your cell hone plan.  You subscribe to a certain number of minutes per month and pay a monthly fee for those minutes.  If you go over the minutes in the plan you will pay a charge for the minutes over the included minutes in the plan.  Rates as low as 2.5 cents per minutes are available from Zip Conferencing if you subscribe to one of these plans.  You did need to watch out for the small print in some of the offers  in the marketplace for these plans.  Some conference call service companies will set participant minimums, restrict the number of participants and make you buy a plan for each moderator.

Conference Calls with International Participants

The world is shrinking and virtually every business has a need to communicate with associates, partners and prospects around the world.  Like other ways to communicate, conference calls have had to adapt to this reality and make it easier to allow international participants on the call. 

There are a few ways to allow international participants onto a conference call.

  • Have an Operator dial out to the participant
  • Provide the participant a local number in the US they can dial into
  • Provide a local number in a foreign city that connects with the US conference call equipment
  • Provide a toll free number that can be accessed in a foreign country

All of these methods can work, but one may be better suited to your conference call needs than the others.

Operator Dial out to the International Participant

Having an operator dial out to your international participants used to be the way all participants connected to a conference call.  This method, however, has its draw backs.  The participant must be at a predetermined location and phone number so that the operator can reach them.  This is the highest cost method to connect a participant to a conference call since an operator is involved in putting the call together.

Provide the participant a local US number they can dial in to connect to the Conference Call

Most people use a toll free number in the US to assemble participants which works great if you are in the US.  People outside the US cannot access a US toll free number.   But you can provide the local US access number and this number can be used to connect to the conference call from anywhere in the world.  The cost to the Moderator or Host of the conference call is low but the participant will pay a toll charge to call into the US just like they were calling any other number in the US.

Provide a local number in a foreign country that is connected to the US conference call equipment

Not all conference call service providers have this option, but it works well for all involved.  Basically, in large foreign cities there is a local number in that city that is networked back to the US conference call equipment.  This means the international participant only has to call a local number in their city and the US Moderator pays a lower cost to transport that participant back to the US conference call equipment.

Provide a toll free number that is accessible in a foreign country

This option provides the greatest flexibility but does add some additional cost to the conference call.  The international participant simply dials a toll free number in their country and they are connected to the conference call in the US.  The cost of toll free access is higher than the local number access bu the international participant incurs no cost and does not need to be in a large city to access the number.
