Conference Calls for Personal Use

Friday, July 31st, 2009

One of the great things that has happened since conference calls have become more available and affordable is their use for things other than for business.  Sure, conference calls provide lots of benefits to businesses in saving travel costs and increasing productivity but more and more people are discovering that conference calls can be a great help to people in their personal lives too.

Ever need to talk to your extended family about a family situation and made endless calls to individuals and after you talk to someone they usually have input that you now need to relate to the people you have already spoken to and on and on it goes.  Since people have been exposed to conference calls at work they are now applying the same benefits of a conference call service to their personal lives.  There are many applications that are perfect for using a conference call.

Personal Conference Call Applications

  • Planning an Event
  • Family Emergency
  • Holiday Greetings
  • Special Occasions

Ever have to plan a family reunion or a wedding?  The logistics can be daunting, especially if the family is all over the country.  A conference call can bring everyone together and get the details of planning a family event that much easier.  A family emergency can be stressful enough without having to make a lot of individual calls and explaining the situation over and over.  Sharing the news all at once on a conference call will save you time and stress.  Holidays can be tough on the members of the family that can’t make it in person but you can share the moment with the extended family via phone on a conference call.  It also works well with any special occasion where all members of your family and friends can’t be there in person.  Having everyone being able to talk together is the next best thing to being there.

Conference calls for personal use can help keep your extended family and friends connected and a conference call service is easy to use and affordable.  www.zipconferencing.com

An Introduction to Web Conferencing

Wednesday, July 29th, 2009

It may be hard to imagine, but there are still a good amount of potential customers that don’t understand the basics of holding a conference call.  We frequently get questions about how it works, how many people can you have on a call at once and what they need to do to host a conference call.  So, it is no wonder that many people out here have not have not been on a web conference and in fact don’t even know what it means to hold a web conference.  Today, I would like to talk about the general principles of web conferencing and what it means to hold a web conference.

When the industry first invented the web conference it struggled with what to call it.  Is it an online meeting, a web conference, a webinar or just a conference call?  Well, you will still hear it called a variety of things but a web conference has kind of stuck as a term to refer to any conference call that has a visual element you view over the internet.  Web conferencing has also become somewhat standardized in the functions that you can perform on a web conference no matter what brand you choose to use.  Basically, a web conference allows you to share what is on your computer with the participants on the conference call in addition to being able to speak to them.  And, just like any in person presentation, the ability to share images during your web conference has a positive impact in engaging your audience and improving their retention of the materials.

The web conferencing services have gotten pretty sophisticated in their feature set, but most people are still just using about 10% – 20% of the software’s ability.  This is not unlike any piece of “software” and you can still hold successful web conferences jus tusing the basics.  In fact, I know many users that have always simply used the application sharing abilities of the web conference alone no matter what they are doing.  This feature simply shows everyone what is on your computer screen as you see it.  Since the concept is simple and the web conferencing service does this with a single button it is understandable why people have gravitated to using this function.

A couple of the other standard features available are the ability to share a whiteboard on your computer with your participants while on a web conference, and the other feature used by most people is the ability to share a Powerpoint presentation.  Again, this functionality is familiar to anyone who does a presentation and once you start the web conference, showing your Powerpoint slides is as easy as doing it in person.  It is no wonder that web conferencing is expected to grow dramatically over the next five years.   www.zipconferencing.com

Conference Call Service Support is the Key

Monday, July 27th, 2009

Everyone these days thinks that since the conference calls are automated you will not need to speak to anyone.  And in many cases this is true.  Conference calls have become so reliable that you rarely will have any issues that require any support or interaction with a conference call service provider customer service representative.  And the services are self explanatory enough that you really don’t need anyone to tell you how to do a conference call.  But let’s face it, everyone needs a little help with things from time to time and your conference call service is no different.

So maybe you have a question about how the conference calls operate, or maybe you forgot your password and can’t remember your conference call passcode.  Okay, well now regardless of price you are going to need to talk to someone at your conference call service provider or have access to the information to answer your question.  Zip Conferencing has developed a web site that allows its conference call service customers to access a large amount of information in a searchable knowledge base.  There are the answers to virtually any question you may have about the conference call service and if the answer doesn’t exist you can submit your question and the knowledge base will grow when the answer to your conference call service question is answered.

But our conference call service support doesn’t stop there.  If you need personal help with a representative you can speak to someone twenty four hours a day, seven days a week.  Because conference calls can happen anytime so can the support you get.  And that is important in a conference call service provider.  Because no matter what any conference call company tells you, there are going to be times when you need the support of a representative who can answer questions about your conference call and resolve any issues that might exist.

Web Conferencing Features Make Remote Meetings Easy

Friday, July 24th, 2009

When Web Conferencing was first introduced it included a number of features that still exist in the web conference service business today.  But over time, conference call service providers and web conferencing companies have enhanced web conferencing to allow anyone to quickly and easily conduct a web conference without the need for a lot of training or experience.

The features that have always existed with web conferencing include:

  • Whiteboarding
  • Share Powerpoint presentations
  • Share Applications

The ability to whiteboard on a web conference allows participants on the conference call to participate on a virtual whiteboard by using their mouse and tools to annotate and collaborate with other participants.  The ability to share a Powerpoint presentation gives you the ability to broadcast your Powerpoint to the entire audience and the ability to share applications allows you to share virutally anything that is on your desktop with the other participants.

Over time additional functionality has been added to web conferencing including:

  • A Chat feature
  • Video conferencing
  • A Recording function
  • Q&A
  • Polling
  • Participant Registration Info
  • Exit Surveys

A chat feature was added to allow participants to chat with each other or the Moderator on a web conference.  The ability to share a video of yourself as the Moderator on the web conference gives the participants a face with the name on the conference call.  A recording function has existed for a while, but only recently has the full integration of voice and visual presentation recorded without the need for extra equipment become available.   A Q&A and Polling element on a web conference has also been available for a while but the tools provided to build the questions and tally the results have become much easier to implement and use.  And one fo the favorite tools of the Sales and Marketing users is the ability to create a registration process to capture participant informaiton on the front end of the web conference and a exit survey process to give the participants the ability to provide feedback after the web conference has been completed.

Even though the features available on a web conference have grown and enhanced, the inuitiveness of the interface has also improved to where anyone can conduct a web conference and look like a pro in a very short time.  Zip Conferencing like some other conference call service providers gives a 30 day free trial of the service to allow users to become familiar with the web confernecing service at no cost before they do a live presentation.

Conference Call Host Controls

Thursday, July 23rd, 2009

Before the adoption of reservationless conference calls, conference callswere run by an operator and if you wanted something to be done on the call you simply asked the operator to perform the task.  Now you simply need to use your own touch tone phone to access a wide variety of conference call controls.  Commonly referred to as Host Controls, these commands allow the Host or Moderator of the conference call to control a number of features on the conference call.    Surprisingly, many people do not use these easy to use commands, perhaps most users are simply unaware of their availability and how easy they are to use.

Here is a list of the Host Controls available with Zip Conferencing Conference Calls

Conference Shortcuts

- Press *1 to hear a help menu.

- Press *0 to reach an operator.

- Press *6 to mute or “un-mute” line.

- Press *4 to increase conference volume.

- Press *7 to decrease conference volume.

- Press *5 to increase your voice volume.

- Press *8 to decrease your voice volume.

Moderator Features:

- Press *91 to hear a participant count.

- Press *92 to hear a roll call of participants.

- Press *93 to disconnect all participant lines.

- Press *94 to lock or unlock conference.

- Press *95 to dial out to participants.

- Press *96 to mute all participant lines.

- Press *97 to un-mute all participant lines.

- Press *22 to initiate record and playback (*22 again to pause/stop the recording)

- Press *31 to turn Conference Security Code on/off.

- Press *32 to record your Conference Introduction.

The two most used features are muting lines and recording the conference call.  Muting and UnMuting participants comes in handy if you have a large number of people on the conference call and you do not want background noise to interrupt your presentation.  It also is helpful for the participants when they are in a high noise situation and do not want to interrupt the conference call.  They can toggle this feature on and off so they can provide input during the call and then mute their line again when done.

Recording of the conference call is very useful if you want to be able to retain a copy of the conference call or provide participants who missed the conference call the opportunity to hear it.  After recording the confernece call you can either provide participants a dial in number and pass code to listen to the recording, download the recording to your computer or order a CD of the recording for your records.

Other options for Host Controls on the conference call include the ability to conduct a sub-conference, volume adjustment and security features that ensure your conference call is only accessed by the people you want on the conference call.  Conference Call Host Controls are easy to use and provide access to valuable features on your conference call.

Conference Calls Save Money

Wednesday, July 22nd, 2009

Many people who use conference calls in their daily business lives may have forgotten the number one benefit you get when you use conference calls.  Conference calls save money.

I think that conference call service early adopters were more interested in solving business issues that could not be solved in other ways.  The legal community in particular simply could not find a way to effectively meet with clients and other counsel in a quick and convenient manner when they were unable to meet face to face.  They were not really concerned about saving money by meeting over the telephone as they charge back their customers anyway.  It was the second wave of conference call users that discovered some of the other benefits to using a conference call service.

Benefits to Using a Conference Call Service

  • Save Money
  • Save Time
  • Increased Productivity

The widespread growth of the use of conference calls has certainly been from their ability to save companies money.  No other technology offers as affordable a solution to solving the need to meet than the basic conference call.  How else can you meet with dozens of people around the world without leaving your desk for just pennies per minute?  So, the most obvious cost you save when you do a conference call is the travel cost to get to a personal meeting.  What other costs can you save with a conference call?

Costs you save when you do a Conference Call

  • Flight Expense
  • Rental Car Expense
  • Hotel Costs
  • Food Costs

And now with the availability of web conferencing and the ability to add visuals to your conference call there are many more applications for conference calls that save companies even more money.  As an industry we again thought that the legal community would be an early adopter of web conferencing since they could share a contract on the screen and edit it with opposing counsel and so forth.  But actually, the largest users of web conferencing have been in the Sales and Marketing areas where they have been able to dramatically reduce their travel costs and shortened their sales cycles.

And now, with the prices for conference call services hitting all time lows in the marketplace there is no better way to save travel costs than substituting your in person meetings with a conference call.  Conference calls save money.

Conference Calls – The Basics

Wednesday, July 15th, 2009

I take it for granted that people have done conference calls before, but if you believe the analysts the market for conference calling services is only penetrated at a rate of 58%.  That means that 42% of the possible customers for conference calling are not using the services today.  Which means that many of you have never done a conference call.  Here is a simple guide to holding a successful conference call.

INVITE YOUR PARTICIPANTS

Web Conferencing – The New Meet and Greet

Friday, July 10th, 2009

Holding a free seminar on a subject of interest to your prospects in a hotel or other public space and inviting potential customers has always been a good method to attract these prospects to a place where you can meet them and begin to build a relationship.  This strategy for sales has been around for a long time and can be pretty effective if you have a good speaker and a topic they will make the time for to attend.  There are, however, several obstacles to overcome in making this an effective sales tool.

  • The prospects need to make a large time and effort commitment
  • The speaker and subject matter needs to be very compelling
  • The cost of the space and refreshments
  • Personnel on your part to coordinate and man the event

Today, using a Web Conference, there is a new way to meet and greet your potential customers with what has been called the “webinar”.  A webinar is simply a seminar you hold on the web using web conferencing services.  There are a host of advantages to holding a virtual seminar instead of an in-person event.

  • Prospects are more likely to attend since the commitment is much less on their part
  • The cost to you and your prospects is much less
  • No refreshments or hall rental necessary
  • You can gather information on your customers when they register

And, even though your meeting is virtual, you will not give much up in the way of tools to make your seminar an effective way to introduce your prospects to your good or services.  With Zip Conferencing’s web conference service you can craft an invitation and require your guests to provide information in the process about themselves to assist in your marketing efforts.  Once they join the web conference you can better engage your audience through the use of multiple presenters, Polling questions, audience interaction and a Q&A session at the end of your presentation.  When your guests leave the web conference you can also provide a thank you email and survey if you like so that the audience can provide feedback.

Zip Conferencing’s Web conferencing is so easy to use anyone can do it and it cost nothing to test drive your own webinar and see if this service can help you get to your prospects quicker, easier and less expensively.  You can start a FREE TRIAL of web conferencing by going to https://www.zipconferencing.com/web-conference-demo.php

Conference Calls in the Legal Community

Wednesday, July 8th, 2009

Conference calls have always been an important business tool in the legal community.  The need to communicate amongst multiple parties has always been a fact of life in the legal system and the benefits of doing it over the telephone as opposed to an in person meeting have been there all along.  In the early days of conference calls the participants had to be called by an operator and the participants had to be at their telephone to answer it at the time of the conference.  Despite the logistical problems this poses the legal community adopted conference calls into their everyday processes early and often.

In the legal community conference calls are used for many applications

  • Depositions
  • Consultations with clients
  • Conferences with opposing attorneys
  • Communication with multiple parties around the world

One of the reasons the legal community also adopted conference calls is out of sheer necessity.  Many times the schedule of attorneys does not permit them to be in multiple places at the same time and by using conference calls attorneys can be more productive.  The cost of the conference calls has never been as much of an issue since attorneys bill back their clients.  For this reason, the most important features of the conference call are call accounting features that allow the attorneys to keep track of their billings to their clients.

The conference call features most used by the legal community

  • The ability to attach a client matter number to a conference call to track expenses
  • Subconferences for sidebar conversations
  • Dial out to add participants
  • Security features that prevent unwanted participation

Zip Conferencing has all the features listed and more.  In fact, you can even see the participants on a conference call by logging into your account on your computer during the call.  The invoices have the calls broken out by Moderator and by Client Matter number.  And the ability to break into a side conversation assists lawyers in being able to talk to their clients alone and return to the conference call to resolve issues.  And more and more, the Legal Community is realizing the benefits of web conferencing.  The ability to share documents and revise them on the fly has added another tool to help improve productivity which for an attorney is the most important thing.  Since attorneys bill by the hour, the more they can get done in an hour is directly related to how much they earn.  For the Legal Community conference calls are not a convenience, but a necessity.

Web Conferencing changes Everything

Tuesday, July 7th, 2009

Web Conferencing started out as something you did on your company’s network and only if you and the person you wanted to web conference with had the same software installed on their machine.  The internet was still coming of age so many of the things we now take for granted did not exist.  In fact, I remember in 1995 taking some of the available software, buying a card for a computer that allowed multiple network connections and building a web conference bridge you could dial into so that up to 5 people could get on the same web conference.  As long as the 5 people had a good connection to the internet.

When I think about that now I laugh.  In the past 10 years the technology has come a long way.  Today you can easily hold a web conference with up to 100 people and you don’t even have to download any software.  High speed internet connections are taken for granted and conference calls are completed integrated into the experience to add voice and visual communications on a conference call.

With the advent of web conferencing, you can easily add a visual element to your conference calls.  This makes your confernece call more compelling, encourages audience participation and helps with retention.  The applications are wide spread and more and more people are utilizing web conferencing services to help sell, train and inform to internal and external clients throughout the world.

I don’ t know if anyone has attempted to calculate the savings in hours of productivity, travel costs and fossil fuels, but it must be enormous. The amount spent on web conferencing in 2007 was over $700,000,000 in the US alone and even as the service continues to be more affordable, it is expected that the amount spent in five years will be almost double what it is today.  That is because web conferencing services make sense to such a wide range of industries and applications.  Just like conference call volume has seen a tremendous amount of growth in the past 15 years, web conferencing is now enjoying that same growth.  That is because it is truly easy to use and affordable to everyone.

So the next time you register for that online “webinar” think about how what you would have to do to get that same seminar without web conferencing.  because web confernecing changes everything.
